Job Purpose


This is a Full-Time position to sit over client-facing operations, driving the back-and-forth communication to keep clients informed while our team diligently executes and produces the work, also assisting greatly in our process for onboarding new client engagements. 


One of the greatest struggles in public accounting from the client’s perspective is with communication during the busy tax filing season. Poor communication is the number one reason our new clients share with us why they made the switch; this role is critical in continuing to maintain and develop our client’s perception regarding our communication as a firm.   


In addition to assisting in the client communication channels and helping clients onboard, this role will also assist with email and calendar management for the Firm owner, who leads the Business Development activities for the firm. This role will work directly with the firm leadership to streamline processes to maximize the client experience, from onboarding through ongoing execution and delivery. 


With the Firm’s pace of growth, it is likely this role will be supervising an additional administrative role, with this future role reporting to them within 12-18 months. The firm has doubled in size every two years since in inception, this Role will assist leadership in removing stress and improving client communication as we continue our growth trajectory. 



Compensation


Base pay will be $30 - $35 per hour, depending on your skillset, relevant experience, as well as your perceived ability to process and communicate information to others. This role will be eligible for overtime pay, though no overtime work will be required for this role.


The position will come with 40 hours of flexible PTO and 7 Paid Holidays. We are also closed as a business with pay for all team members the first calendar week after the April 15th filing deadline, which is another 40 Hours of pre-scheduled PTO. This totals out to 17 paid days off in the first year of service.


We offer low deductible health insurance and pay 100% of the premium for the employee, with the option to add a Spouse or child(ren) as a pre-tax payroll deduction. We have a company retirement plan with a company match as well.



Keys to Success within Role


You will be evaluated on your adherence to our Core Values and development of habits that lead to consistent and predictable outcomes. No prior industry experience is required, though experience in industries such as insurance, banking, hospitality, legal, or other financial services may be of value.    An ideal candidate will be able to demonstrate that they:


  • Think proactively and systematically to suggest better ways to execute and automate certain, repeatable tasks to improve the overall efficiency of processes.


  • Evaluate, deploy, and utilize apps and tools to handle tasks and processes, comfortable with and excited about learning how to use new tools and technology.


  • Identify bottlenecks and work to identify the cause and get things flowing properly again. This could be a specific process or set of workflows. 


  • Are capable of developing a sense of professional judgment around when something is material vs when a simple judgment call is warranted to move a project or problem resolution forward to its conclusion.  This role won’t be giving advice to clients on complicated tax and financial matters, but will be helping to fulfill a lot of routine requests we get from or on behalf of our client base.


  • Are aware of and can respect client confidentiality in all of their business and financial matters.  All team members sign a client confidentiality agreement, this is a cornerstone of public accounting. It is an implicit requirement.


  • Possess a general sense of urgency in driving client problems to a full resolution. Also will possess a recognizable and demonstrable empathy and a pleasant bedside manner when dealing with sensitive topics. 


  • Are wired to run towards problems and help fix them, rather than ignoring them hoping they will go away. We fix problems, we occasionally cause them, quickly identifying and unwinding them benefits both the Firm and the Clients.


  • Can get familiar and comfortable with how to read and process source documents, such as bank statements, retirement statements, credit card statements, real estate settlement statements, and other client tax and financial documents. 


  • Have the ability to and experience in documenting steps and functions carefully so that they can be accomplished and repeated by more than one team member. 


  • Are available to work a flexible, yet dependable recurring schedule of ~40 hours per week. The majority of the work will require some level of client interaction during normal business hours. 4-day flex scheduling is an option during non-peak season.  Our peak season runs from Jan – April, then again from Mid-August through Mid-October, roughly half of the calendar year.


  • Have a thirst for continued education as a mechanism to continually develop and improve the team member’s ability to assist clients and other team members. There are so many different functions we assist clients with, this Role’s various functions, client involvement, and compensation will increase over time.


  • Are comfortable in asking for things and explaining why they are needed. A big part of running a successful tax and business advisory firm comes down to document collection. While automation can aid in the process, at the end of the day we often have to pick up the phone and call someone to ask for some specific needs and explain the reason.



Required Location


  • Our offices will be located near 63rd and Portland in Oklahoma City in 2023.
  • Must be a reasonable commute from our office, no relocation benefits are offered
  • This position will be performed on-site, remote work will not be available for this position in any meaningful way, but will be an option for emergency or temporary accommodation. There will be a laptop with VPN connectivity provided.
